These Terms and Conditions govern your registration for and participation in conferences organised by BrusselsMUN, operated under Polaris Production ("we", "us", "our"). By creating an account, submitting an application or attending a conference, you agree to these terms.

Eligibility and applications

Our conferences are open to students and young people who meet the requirements of the edition they apply to. Submitting an application does not guarantee a place; all applications are reviewed and admission is at our discretion. You agree to provide accurate information in your application. Where a participant is under 18, a parent or guardian must consent to their participation.

Registration and payment

A place is confirmed only once your application has been accepted and the applicable registration fee has been paid in full. Fees, options and any accommodation packages are shown during the application process. Payments are handled securely by Stripe. All fees are in euros and include any applicable taxes unless stated otherwise.

Refunds, cancellations and transfers

Our conferences are leisure events provided on specific dates. Under Article 16 of the EU Consumer Rights Directive, this type of service is exempt from the statutory 14-day right of withdrawal. Registration fees are therefore non-refundable once your application has been accepted and paid. If you can no longer attend, you may request to transfer your place to another eligible person by emailing us at least 14 days before the conference, subject to our approval. If we cancel a conference, we will refund paid registration fees in full. Accommodation and add-on packages follow the same terms unless we state otherwise at the time of purchase.

Code of conduct

All participants are expected to behave respectfully and professionally, follow the rules of procedure, and comply with the instructions of organisers, chairs and venue staff. Harassment, discrimination, intimidation and any unlawful behaviour are not tolerated. We may remove any participant who breaches this code or endangers others, without refund.

Media and photography

Photographs and video may be taken at our conferences for use in our communications and promotion. If you do not wish to appear in such material, please tell us in writing in advance and we will use reasonable efforts to accommodate your request.

Intellectual property

The BrusselsMUN name, logo, website and conference materials are our property or used under licence and may not be reproduced without permission. Content you submit (such as position papers) remains yours, but you grant us permission to use it as needed to run the conference.

Liability

We take care to organise our conferences well, but to the extent permitted by law we are not liable for indirect or consequential loss, or for matters outside our reasonable control. Nothing in these terms limits liability that cannot be limited under Belgian law. Participants are responsible for their own travel, insurance and personal belongings.

Changes

We may need to change the programme, speakers, committees, venue or dates of a conference. We will communicate material changes to registered participants. We may also update these terms from time to time; the version in force is the one published here.

Governing law

These terms are governed by Belgian law, and any disputes are subject to the jurisdiction of the courts of Brussels, Belgium.
